How to Choose a Live Streaming Setup for a Corporate Event
There is no package tier that answers this. The number of cameras a corporate event needs is decided by what is happening on stage and who needs to see it, not by the size of the company or the size of the line item.
Budget is the first signal, not the real question
Budget tells us quickly what is possible. A tighter budget makes six cameras and six operators difficult, and pretending otherwise wastes everyone’s time.
But it is not the interesting question, because it does not change what the event actually needs. Two events with identical budgets can want completely different rigs. So the first thing we ask about is the stage.
What is actually happening on stage
The questions that move the number:
- How many people are on stage at once? A moderator and two panelists is a different rig from a ten-person fireside conversation.
- Is the largest configuration a panel, a single keynote, or a presentation running against slides?
- Are people moving? A speaker who works the stage needs coverage a seated panel does not.
- Is there an audience Q&A?
That last one gets missed constantly. If people are asking questions from the floor, you want a camera pointed at the audience. Otherwise remote viewers hear a question arrive from nowhere and watch the panel answer something they never heard. A Q&A shot is not a luxury angle. Without it, half the content of that segment happens off screen.
Where the stream is going
Delivery shapes the rig too. A single public stream and a gated player with a separate vertical cut are different jobs on the same stage, and it is cheaper to know that before the cameras are specified than after.
What changes on the day
Scope changes on nearly every show. Most of it is small: an extra person on stage, four remote callers instead of three, a destination that moves from an RTMP endpoint to WebRTC.
One of the larger ones we have handled was a client deciding, on site, to go genuinely live rather than record live-to-tape. That changes the risk profile of the entire day, because there is no longer an edit to fix anything in.
We could take it because we bring more gear than the plan calls for to nearly every shoot. Late changes are almost always absorbable in near real time, on one condition: we have to know before the show goes live. After that the answer is usually no, and it is a hard no rather than a negotiation.
What to have ready when you call
None of this has to be final. Approximate answers are enough to size the job:
- The largest number of people on stage at once
- Whether there is an audience Q&A
- Where the stream needs to go, and whether it is public or gated
- Whether anything is pre-recorded and has to play into the show
- Whether remote participants are joining, and how many
- Roughly how much on-screen graphics the show needs, and whether they animate
That last one surprises people. We do not need the actual graphics to scope the job, but there is an enormous difference between an opening and closing card (Starting Soon, Thanks For Attending) and sixty-five lower thirds. Whether they are animated or static matters just as much: static cards can be built and loaded quickly, and animated packages are a separate production task with their own timeline. Knowing which one it is, weeks out, changes the gear.
Some of this you can run yourself. Some of it you shouldn’t.
