Questions to Answer Before You Ask for a Livestream Quote

Every livestream vendor asks roughly the same questions before quoting, because the answers are the quote. There is no rate card. There is no way to price a show without knowing what is happening in the room, what has to appear on the screen, and where the result has to go.

This is the list we actually work through, published here for a practical reason. If you have the answers ready before you call anybody, you get a real number faster, and you get quotes you can compare against each other.

One camera, or more than one?

The first fork, and the one that moves the number most. A single camera sees the room. More than one lets us hold a wide shot and a closeup and cut between them, which makes an hour of people talking considerably easier to watch.

Multicamera costs more in both directions, in equipment and in the people to run it. Worth knowing early: the jump from one camera to two is not the same size as the jump from two to three, because the first one crosses a threshold the others do not.

What has to appear on screen?

Graphics are the other half of what a stream looks like. The usual list is a lower third with a name and title, an opening card, a closing card, and something carrying a call to action.

Slides count too. If presenters are working against a deck, we can cut to the slide itself, so the remote audience reads it rather than watching somebody gesture at a screen they cannot see.

Then the part that gets forgotten: who is making the graphics. If a brand team is producing them, we need the files and the specs. If you want us to design them, that is design work with a timeline of its own, and we need to know roughly what the list is. An opening card and a closing card is a different job from a titled set covering every speaker.

How many people are presenting, and how many at once?

Two different numbers, and they drive two different things.

The largest number on screen at once drives cameras and framing. The total number of presenters across the whole show drives microphones: how many we bring, and whether any of them have to be handed from one person to the next while the show is running.

Does the venue capture sound already?

The biggest single fork on this list, because audio is either mostly solved or entirely ours.

If the venue has a sound system and somebody running it, the question is whether we can take a feed from the mixer. That is usually the cleanest path, because the room is already mic'd and we take what the room is already doing.

If there is no sound provision, we bring it: microphones, a mixer, and somebody whose whole job is the audio. Which microphones, and how many, is a question about the room rather than about the budget. That is a real addition to both the equipment list and the crew, which is why this question comes before the ones underneath it.

Handheld or lapel, and who moves the microphones?

When we are providing audio, three things follow.

  • Handheld or lapel. Handhelds pass around easily and are obvious to point at. Lapel mics disappear on camera and leave hands free. It is mostly preference, and it is worth having one.
  • Whether the room needs reinforcement. Making presenters audible to the people sitting in front of them is a separate job from making them audible on the stream, and a room that needs a PA needs more than a pair of microphones.
  • Whether the segments run back to back. This is the one that changes the crew count.

If there is a break between segments, one audio person can move microphones from the outgoing speakers to the incoming ones and then get back to mixing. If the segments are contiguous, they cannot be in two places at once, and somebody else has to handle microphones while the audio person stays on the desk. A rundown with no gaps in it costs an extra person.

Is there an in-person audience, and will it ask questions?

An audience changes the room, and a Q&A changes the audio plan.

If people are asking questions from the floor, the remote audience has to be able to hear them. There are two ways. A wireless handheld that gets passed to whoever is speaking, which costs a microphone and somebody to run it. Or a discipline where the panelists repeat every question before answering it, which costs nothing and depends on people remembering to do it while they are being asked something.

Without one of the two, the stream carries an answer to a question nobody heard.

Where does the stream need to go?

YouTube, Facebook, a player on your own site, an internal platform. Most destinations are straightforward, and sending to several at once is straightforward too, with one condition.

They have to be the same shape. YouTube, Facebook and X are horizontal. Instagram and TikTok are vertical. Streaming to horizontal and vertical destinations at the same time is not a setting: it is a second program built alongside the first, with the equipment and the labor that implies.

The other half of the question is administrative. Is somebody on your side creating the destination, or would you like us to? Setting up the live event, the privacy settings and the stream keys is a small job, but it is a job, and it needs an owner before the day.

Will the venue’s lighting do the job?

Rooms are lit for the people sitting in them, not for cameras. Sometimes that is genuinely fine. Often it is the difference between a stream that reads as professional and one that does not, even when everything else was done well.

The answer is not always to bring lights. It is worth deciding early either way, because lighting is a rental line and, past a certain point, a person to go with it.

Is there internet we can plug into?

The question is whether the venue has a connection we can use, or whether we should bring our own.

A wired connection is what matters here rather than wifi, along with knowing the upstream bandwidth, whose network it is, and who can be reached if it stops during the show. If none of that can be established in advance, we bring our own.

Underneath that sits a second question: what happens if the connection stops mid-show. If the broadcast is mission critical, the answer is a bonded encoder with several ISPs attached to it, so the stream survives the building losing its connection. If you can live with the stream going down when the building’s internet goes down, you can pass on the bonded encoder. That is a legitimate choice rather than a corner cut, and it is worth making on purpose rather than by omission.

When is the rehearsal?

Almost every show benefits from one. The question is usually only when it happens.

If the broadcast runs around two hours or less and is not too complex, rehearsing on the same day is normally workable: we build, we rehearse, we go. Past that we generally advise rehearsing the day before, because a long show does not leave enough runway to build, rehearse, and still absorb whatever the rehearsal turns up.

Why the answers make quotes comparable

The practical reason to work through this before calling anybody is not speed, although it is faster. It is that two vendors given the same information are quoting the same show, and two vendors given different information are not.

A lot of the spread between quotes for one event is not margin. It is that one vendor assumed a feed from the house mixer and the other assumed they were providing audio, or one read a passing mention of Instagram as a second vertical program and the other did not. Answering the list above removes that whole category of difference.

Why two quotes for the same show still differ

Matching the specs does not make two quotes identical, and it should not. Two differences survive it, and those are the ones actually worth asking about.

The first is approach. There are usually three or more ways to achieve any one thing on this list, and they are not equally complicated. Complexity that could have been avoided costs twice: once in the equipment and the people to run it, and again in the number of things that can fail while the show is running. So a higher quote reaching for a more elaborate solution is not automatically the better one. Going too simple backfires just as reliably, and the saving disappears the moment the show needs something the plan left out. Asking why a vendor chose their approach is a fair question, and the answer tells you most of what you want to know.

The second is who is actually on the crew. A camera operator can be booked at $500 or at $1,000, and on paper the two are doing the same job. In the room they are not. The operator who costs twice as much frames a better shot, sees what is about to happen and is already moving when it does, and gets it cleanly instead of missing it or arriving with a lurch. None of that appears on a line item, and it is most of the difference between footage you are pleased with and footage that is merely in focus.

When it needs a crew

Some of this you can run yourself. Some of it you shouldn’t.

If the room is big, the audience matters, or there is no second chance at the moment you’re capturing, that is the point where this stops being a settings problem and starts being a production one. Our live switching work covers exactly this.
